Committee Meeting Minutes

At Stanway Village Hall

  1. Committee Members Present:

Malcolm Hargreaves, Margaret Hargreaves, Kelly Phillips, Colin White, Stuart Anderson, Tom Starmer, Ray Robins, Nick Swainston, Paul Meadows, Helen Arnold, Matt Haigh, Justine Smith, Jacqui Mortlock

  1. Approval of Previous Minutes Proposed by Colin White

  2. Matters Arising from previous Minutes

Kelly raised the point that Jacqui Mortlock had been missed off the February minutes as attending. Maggie apologised and confirmed that the February minutes would be amended to show that Jacqui was in fact present.

  1. Treasurers Report

Maggie presented the Club accounts. We are still in a very healthy position with the present balance sitting at £40,438.31. Total monies paid in this month was £869.88 and withdrawn £514.62. The monies paid in were club membership fees and Jock Wadley race monies.

Stuart said that he had priced the bike boxes and the committee agreed to go ahead with the purchase. (Since the meeting Stuart has purchased one at price of £700.01)

Maggie said that she had received a request from David Triggs and Chris Douglas for the reimbursement of their Bike hire and expenses whilst attending their recent coaching course. The total cost being £82. The Committee agreed payment.

Nick (Chairman) said how disappointed he was with the response to the presentation night with only 27 members buying tickets. Nick (Chairman) therefore had no alternative other than to cancel the evening. Nick (Chairman) said that the venue will hold our deposit and that we could possible organize something later in the year.

  1. New Members

Since the last meeting we have had 2 New Members: Gary Nunn and Jon Dixon (2nd Claim) Justin said that at present our membership stands at 255. Colin said that he had issued 30 membership cards at the reliability ride.

  1. Road/Circuit racing

Greg sent his apologies but said that the first Centurion race would be on 18th June and that he will be asking for volunteers shortly.

  1. TT

Nick Rowley sent his apologies and Nick (Chairman) said that the revised calendar was on the website and that the first 2 races would be on the NGW circuit. The first one being on Friday 21st April this being the Club night. Nick (Chairman) said that the Sunday Summer races would be starting 15 minutes earlier.

  1. Open 50 TT – Matt

Matt said that the Open 50 had been planned for 23rd April but due to road works was now cancelled. Matt said that he was now looking at running it on 6th August on the new E7/50b course. Matt will confirm the use of Tendring Village Hall. Matt will also inform the horse riding clubs. It is unlikely that we will be using the Tendring course this season. Nick will make sure that the routes are on the Website

  1. Reliability Ride – Paul. Paul thanked everyone for their help. Elspeth was really taken that the money will be going to MND in memory of Jim. Paul said that it was so nice to see so many there. Paul said that he had received one compliant about a rider urinating on their property. The owner said that he had spoken to the ride who thought it was funny. Paul said that he managed to calm the resident down but was unable to identify the rider. Paul said that the Sportive would be on 15th September and would like if possible to use Layer Village Hall. Maggie to email Paul with contact details for the Hall and School. (done)
  2. DBS Checks

Jacqui asked what policies the club had in place for the renewal of DBS checks. Tom said
That he has spoken to BC asking what the process is and will press the coaches to make sure they keep their DBS checks up to date. Jacqui is an ambassador for Essex CC. Nick (Chairman) asked Jacqui to keep a record of all those who have been DBS checked and when they need to renew. Nick (Chairman) said that he will also make sure that the Website is updated with Jacqui and Elaine’s details and that he will speak to Joe Warren.

  1. A.O.B

The Committee agreed to round up the monies from the Reliability ride to £1000 to be donated to MND.

Kelly asked if we could set up an email address for the Press Officer. Nick will look into this.

Ray raised the issue of First Aid training and said that he has some dates. Since the meeting I can confirm that I have received an Invoice from ATH Training and they are going to carry out a First Aid at Work Level 3 Group Course on 8th July for 6. This is at a cost of £474.00). Ray has confirmed the names of those attending.

Ray said that the Octopus ride has happened and the feedback was very positive. 22 from the Club attended on a pretty awful weekend of weather. Ray said he may well do something similar possibly “All the Hills” in Surrey. Ray went on to talk about the training at NGW for the Saturday riders on 15th April. Nick (Chairman) said that he will put up a link for Eventbrite for riders to book on. Tom said that he has 5 coaches and is hoping to make it fun and sociable. The timings will be 9 – 11am with coffee and cake available afterwards followed by a 20 mile ride for those who want to take part.

Jacqui said that she is trying to organise something for the children and asked if there would be any helpers for an event at Northern Gateway. Nick (Chairman) said that Jacqui should mention it to Abbey at BC and that she may well be able to help. Jacqui is hoping this will be sometime in July.

Nick (Chairman) said that he had now agreed with VCR the Thursday night sessions. The cost will be split 50/50. The sessions will run for 1 hour

    The next meeting will be Tuesday 9th May.
