Committee Meeting Minutes
Tuesday 9th May, 2023
At Stanway Village Hall

1. Committee Members Present:

5. Treasurers Report

Maggie presented the Club accounts. We are still in a very healthy position with the present balance sitting at £41,002.36. Total monies paid in this month was £1599.80 and withdrawn £1035.75. The monies paid in were club membership fees, Sum up payments, Evenbrite monies and Reliability ride. Expenditure this month was mainly First Aid Course fees, Ride Leader’s course, expenses and Colchester Borough Council.

6. New Members

Since the last meeting we have had 5 New Members: Andrew Duffin, Dave Scott, John Connell-Smith, Paul Hesketh and Steven Peain all new members were approved by the Committee. We had 16 members renew their membership.

7. Road/Circuit racing

The first Centurion race will be on the 18th June Greg said that he is still 3 marshals short and needs a Safeguard person. Jacqui and Elaine said that they will cover this. Nick Rowley said that he will make sure that the race is published again on Facebook, Website etc.

8. TT

Nick Rowley said that the TTs are going well and the first TT on the new Tendring course will take place tomorrow. The marshalling duties are filling up. Information on how to enter is not on the website. Jacqui said that she had used the website and it was very good. Results are now published on the website and weekly on facebook.

9. Clubnight – TTs at NGW.

Malcolm said that at the last club night there were only 6 members and is the club room
really viable given the cost. Ray said that it would be a good idea to ask the membership
what they want. A lot of ideas were discussed and Helen said that the time is not really
clear on the website. Nick (Chairman) said that he will look into this. Paul suggested a
bike jumble for next month. This was agreed and Nick Rowley said that he will get this
published on Facebook etc.

With regard to having TTs on the same night as a club night is perhaps not a good idea.
Nick (Chairman) said that there are at least 2 more TTs booked at the Gateway but
neither are on a club night.

10. A.O.B

Helen asked why we have 2 facebook pages (members and community) and is this really necessary. Nick explained why we have 2. We could possibly change the name of the community site. Nick will continue to look at this and will report back.

Jacqui has put together a folder for the Welfare Officer and would like a post on the website with Welfare Officer details and how to be contacted.

Stuart raised the question of the bike box location. Helen is going to look into this to see if she has space to store all the bike boxes. (Helen confirmed she has space to store them). Nick (chairman) will see if it is possible to create a calendar for the website.

Ray said that the Saturday rides are going well and he has set another meeting for the Ride Leaders on Friday 9th June. Ray said that he has spoken to Tom and that he is more than happy to do another training day at the NGW. Ray has also been talking to the organisers of the Dragon races and would like to get a group together for June 2024. It is 97 miles in the Breacon Beacons. Ray will submit dates when he has them.

Ray said that he is looking to get a speaker for a club/presentation evening but this will not be cheap; could be around the £1000 mark or more. Ray will keep us updated.

Ray said that Perry Taylor is doing Lands End to John 0’Groats. Perry has a just giving page and would welcome any contributions.

Colin said that the grass track will commence on 15th May and will run until July. This will be at Boadicea Way.

Nick (Chairman) said that NGW had refused to have a poster for the Grass Track. Nick found this very disappointing considering how much Colchester Rovers and other cycling clubs use the circuit. Their reply was that they will not support/show preference to any club.

Nick (Chairman) said that he had received an email from a group of people riding from Holland and would like us to have a look at their course to see if there is anywhere on the course that should be avoided or would prove difficult. Stuart said he would have a look at this.

Nick (Chairman) said that Ride 100 had asked for riders to ride the route and be ride marshals. Nick asked if Kelly would take this on board.

The next meeting will be Monday 12th June.
