Committee Meeting Minutes
Monday 11th September, 2023
At Stanway Village Hall

- Treasurers Report
Maggie presented the Club accounts. The balance is sitting at £43,343.19. Total monies paid in this month was £22159.25 and withdrawn £1342.82. The monies paid in were club membership fees, Eventbrite monies, Centurion Races and Cyclo X. Expenditure this month was mainly Refunds from the Centurion races. Thursday night payments and CBC.
- New Members
Since the last meeting we have had 1 New Member: Anoushka Sharp who was accepted by the Committee. We had 3 members renew their membership.
- Road/Circuit/Cyclo X
Maggie read out a report from Greg who had sent his apologies. Greg said that the Tony Asplin memorial race had been a great success with no incidents to report. Greg thanked all the volunteers for their support with special thanks to Keith Clarke for the Trophies. There are still expenses and levies to be finalised and Greg will update us with these as soon as is possible. Greg said that right now it’s difficult to say how much time he will be able to devote towards next year’s circuit races as his work schedule is not yet finalised but it is looking very busy with overseas travel.
Greg said that next year he would possibly only run 2 Centurion races and that these would be separate from the Youth. Greg is looking for someone to take on and organise the Youth races and he is more than happy to work with them.
However, he has been focussing on one item and discussing with Dave Hales (VCR) about the Tony Asplin memorial being back on the road next season and by sharing the day with VCR in terms of comms, accredited marshal etc. The following format has been discussed:
Sunday 16th or 23rd June 2024.
0900hrs The Kenwright Memorial (VCR promotion) Men”s 2/3/4 approx 55miles.
1400hrs The Tony Asplin Memorial (CRCC promotion for ladies only) W/2/3/4 approx 45 miles
HQ would be Boadicea Way with good parking space. Would need good publicity and promoting leading up to the day. Sponsorship would be recommended to raise a good prize list and lure more riders.
Greg said that he is hoping to discuss this further at the next meeting.
Peter said plans going well for the Cyclo X just a little short on numbers for the ladies and Vets categories. Peter said that Northern Gateway had been very accommodating and helpful and had secured a good price for the use. Peter said that they had organsied a couple of hours next Saturday morning for a test race. Volunteers are all now sorted and everything is in place for setting up the course on Saturday. Peter said that Amis Velo would not be running an event this year.
- TT
Nick (Rowley) confirmed that he had done the calendar for next year and that he was hoping to have 2 courses every week and has applied to the police. This will mean if one course is not useable we will have an alternative. There is also a clash with the Hill Climb on the 24th September now looking at alternative date of 22nd October but will confirm this at later date.
Also looking at a possible TT at NGW and perhaps arranging a bar at the rugby club afterwards.
Matt said that he was looking at dates for next year for the Open 10 and Open 25. Possible dates are Open 10 7th April and the 10th June for an open 25. Matt is happy to organise the open 50 again and is hoping to run this in August. Matt said that he will attend the TT date fixing meeting.
Keith has done an audit on TT signs and we need some new signs. Matt said that he will source the signs.
Paul said that due to not being able to secure a venue for the sportive that it is looking likely that he will be cancelling the event.
- Bike Boxes
Helen has done a booking hire form and has had a hire already. Nick (Chairman) said that he would like a couple of pictures so that he can upload this to the web site.
Helen said that she and Kelly are hoping to organise a Cycle Break next year (e.g. Majorca?) and that she would like some guidance with regard to promoting this. Helen and Kelly will put something together and are possible looking at a date in April next year.
- A.O.B.
Maggie read out an email from Ray and he has arranged another group riding coaching session on track with Tom and his team for Sunday 15th October. Nick (Chairman) said that he would book the the track. The social evening with Emily has been booked for Sunday 22nd October and Ray said that he will advertise both events on his return. Ray sent a copy of an idea that he may post on facebook. Maggie passed this around the meeting. Nick (Chairman) said that he would set up an event page to enable those who want to attend to make their menu choice and pay. Ray said that if they do not get enough takers then he will open this up to others. Nick (Chairman) informed the meeting that there is a British Cycling Eastern Region AGM being Held at NGW onSaturday 16th September. (Maggie and Malcolm attended) Colin Foster is taking over the Sunday Posse and has asked if he can go on a ride leaders course. the Committee agreed. Nick raised the point of Cyclo X at Hilly fields and asked how many coaches where assisting Simon in the running of the Saturday mornings. Nick is going to write to the coaches and ask them to contact Simon with their availability to help with these sessions. We really need their commitment to help. Colin mentioned about the grass track and that there had been a post in the County Standard. Kelly asked about the questionnaire that she had produced and if this can now be distributed to the membership. Nick (Chairman) confirmed that it could and asked Kelly to move this forward. It was agreed by the Committee that as Colin Foster is now the posse organsier to invite him to the next Committee meeting. Maggie will organise this. Maggie said that she had received an email from Tom and that he will be standing down as the Youth Chairman at the AGM. Date of next meeting is Monday 9th October. The meeting closed at 9.20pm
