Treasurers Report for CRCC accounts and Youth accounts.
Nov and Dec accounts together. Still in healthy position. For the next season the youth will pay for the sessions at Northern Gateway and it won’t come from the main club account.
Membership – Justin Smith
Reminder email for membership sent out. Action: Kelly to post a reminder to Facebook re membership.
Justin Smith advised that there has been a member that has rejoined after suspension. The committee to review the new members & discuss if they will be accepted or not. A complaint was made to BCC by the member and the details set by the committee for the reason for the 1-year suspension. All committee members agree to accept the member.
Committee to agree what the process is for approving new members. New members to be approved at each committee meeting. New members list read out
Amend email that new members receive to advise they are a provisional member until they are accepted by the committee as a member – Action: Maggie to amend the new members’ email. New members will be reviewed/accepted on a monthly basis. Provisional members can still join rides with the club.
Youth Development – Simon Wilson
Come to the end of the coaching session. Ran 12 coaching sessions. Tom also ran a coaching session Simon sent out a document on the development of a policy put in place last year for youth riders who would do national competitions. Extend this to senior riders also. Simon put forward to the committee that we should extend this to senior riders and extend the offer of funding to senior riders. The seniors must have been a member for at least 2 years. Limitations of funding cost of travel new riders limit to £250, can rise to £375. If people don’t attend races, should we ask for the money back – reserve the right to request the funding back – Nick Swainston agreed to this wording.
The club will use discretion when awarding funding.
Simon Wilson agreed that we will host the end of Season Cyclo X Relays which will be held on 09th Feb. Link has been put up on Instagram to join by Kelly Phillips.
Trophies and Records – Paul Meadows & Ken Baker.
Nick Swainston is holding the trophies & has a list of trophies, names awarded to & what for & will provide to Paul Meadows.
Action: Paul Meadows to liaise with Nick on a collection day/time for the trophies.
Action: Paul Meadows to audit the trophy list which will be provided by Nick Swainston.
Action: Nick Swainston will provide a list of records to Justin to put onto the CR site.
Maggie suggested that we hold a formal prize presentation for Colchester Rovers. Presentation to be held end November 2025, this would include 2024-time trials. Kelly suggested more fun prizes
for members, nominations for club captains, most improved etc. Action: Maggie Hargreaves to review some venues for the presentation to be held.
Road and circuit races – Nick Swainston
Open on 27th Dec. Action: Maggie Hargreaves to send latest list of Marshals to Nick Swainston.
We are a loead car short, David Dodsworth could do Lead O(ne, but need volunteers for lead 2 and 3 . Mark Longstaff has volunteered to do neutral service. Nick waiting for confirmation on First Aider.
Action: Additional First Aider to be secured as requested by BCC for race HQ. Nick to check insurances that all drivers are covered. Village Hall booked. Nick to speak to the school (for Car Parking). Action: Paul Meadows to speak to Keith regarding signs for the event. Simon Wilson to volunteer – tbc.
National road race for junior girls. Shortage on the calendar. The 31st March may be the only dates to consider. BC would support this event. There is a sponsor in mind to support, 40 riders. Maggie suggested that this date is too close to the Wadley. Nick would run the event. Action: Nick Swainston to speak to BC HQ as it’s a national race, confirm date, financials & if sponsorship is guaranteed. This event is dependent on date and sponsorship as Maggie raised the cost as it’s a national race would be too much for the club to support. Looking for a named race as Geoff’s Memorial race, Nick suggested that this could be the race used.
TT – Matt Haigh
Steve Little & Dave Scrimshaw volunteered to run the evening 10 series. Evening TT meeting at Northern Gateway on 27th Jan. Evening 10 due to start on 02nd April. All club and open events uploaded to CTT Eastern. New website joining live 16th June to make more accessible to all clubs.
06th April, CTT ask Peter to reconfirm the 25. Road bike TT rules to be reviewed & Mat will issue these as soon as available.
Nick advised he needs approval for the ticketing system(Eventbright) to allow to set dates up for the meeting on the 27th Jan. Action: Nick to send details to Maggie who agreed to deal with payment.
AOB
- Kelly requested that we have a copy of the handbook on the web site, so that rules & regs for club are transparent. Suggested that this document be updated (2018 last version). Action: Helen & Kelly to review the document & review in next meeting to agree before it’s put on the web site.
- Tom has applied to do level 5 coaching. Once qualified he will offer coaching sessions to seniors at Colchester and off road in the summer. Tom would like to put the sessions on not dependent on numbers and will coach members and non-members. Tom will have to provide Maggie’s name so that she could vouch for him.
- Justin asked when will the AGM mins be released. Action: Helen within next 10 days. Action: Justin to duplicate club calendars so that they can be added into the Club Google account. Action: Nick to populate the calendars with all TT details.
- Paul mentioned the number of cyclists has dropped for the Boxing day cross – there was no ownership and notification of this event. Paul mentioned he’s looking at the 13th April for the reliability trial, he is yet to confirm this.
- Matt said that he’s very happy that the TT details are put up onto the web site.
- Helen advised that there is one bike box with one strap on. Action: Matt volunteered to help fix the bike box – Helen to liaise with Matt. Storage of bike boxes – Kelly advised that the storage shouldn’t be an issue, but she will take it up for the new owner of the storage location. One of Kellys customers has asked to rent the bike boxes from the company which Kelly works for.
- Maggie raised if anyone would mind if we could stop paper agendas being provided apart from available for Colin. All committee members agreed to this
- Nick has suggested that we could use his works boardroom in the centre of town in the Red Lion Yard. This would save £45 a month. Committee to review and update in next meeting.
